Forwarding email

Each account has a private forwarding address. Mail that arrives there is read for interviews, offers, rejections, and other updates, then attached to the right job when the match is clear.

The address looks like something@process.applicairn.com. It is created when you sign up and listed in Quick Copy with a lock, so it is always available and cannot be edited away.

How to send mail there

You only need messages about your search. Two patterns work:

  • Forward a thread from Gmail or another inbox to your Applicairn address when a recruiter writes.
  • Auto-forward a filter or a label, if you want every message from a recruiting domain to arrive on its own.

Applicairn looks at the recipients on the message, including forwarding headers, so a Gmail auto-forward still routes to your alias even when the visible To line is your personal inbox.

Only forward mail you want parsed

The message is stored so it can be matched and reviewed. Forward recruiting mail. Leave personal mail in your inbox.

What the parser looks for

Each message is classified as one of:

KindTypical mail
New applicationA confirmation that you applied.
Interview inviteA request to schedule, or a proposed time.
Interview confirmationA calendar hold, a meeting link, a panel.
OfferAn offer or a compensation note.
RejectionA pass, or a closed requisition.
General updateStatus mail that is none of the above.

A confident match can be applied to the application: a stage suggestion, a timeline entry, a meeting time, a contact. A weaker match waits in AI Review until you confirm, edit, or dismiss it.

The parser also tries to read the time and the timezone on invites, so the meeting on the application is the time the email actually stated.

When a message is skipped

Some mail never becomes an event:

  • The address is unknown.
  • The alias was revoked, and the short grace window after revocation has passed.
  • The message does not describe an application event.
  • Processing failed. Those are visible as failures rather than silent drops.

A revoked alias stops accepting mail after the grace period. Your current address is the locked Quick Copy row.

Matching a job

The message is matched to a job you already track, using the company, the role, and the addresses on the thread. If several jobs could fit, or none can, the suggestion stays in AI Review so you can pick the application or discard the message. Confirming a rejection there is what closes the job with reason rejected, unless you close it yourself first.
